Description:

Dental front desk personnel play a vital role in the efficient operation of each practice. They provide exceptional front-line customer service and meet the many non-clinical needs of patients. They coordinate the flow of patients through the office; assist patients with payments, insurance and billing information; schedule appointments; and maintain patient charts.
They play a critical role in the success of the practice by creating and maintaining positive and professional relationships with patients and by serving as a liaison between the patient and doctor to ensure a successful visit. They assist patients with questions regarding insurance, services and fees, and they educate and encourage patients to embrace optimal dental health. By working directly with the patients and insurance companies, the consultant assists with completing insurance forms, verifies coverage, and addresses any of the patient’s financial concerns regarding their care and treatment options.

Week 1
Chapters 1 & 3
The Dental Healthcare Team: Describe the many roles of the administrative dental assistant, office manager, business manager, receptionist, insurance biller, records manager, data processor, bookkeeper, and appointment scheduler.
  • List the different traits of an administrative dental assistant
  • Name the various members of the dental healthcare team and discuss the roles they play in the delivery of dental care
Regulation and Compliance: Identify the rules and function of the Health Insurance Portability and Accountability Act of 1996, Administrative Simplification, as it applies to the dental healthcare system. Examine the American Dental Association's Principles of Ethics and Code of Professional Conduct and demonstrate an understanding of their content by explaining, discussing, and applying the principles.
Communication: Verbal and Nonverbal Messages
  • Identify the five elements of the communication process
  • Differentiate between verbal and nonverbal messages and decide how the two are used to send and receive messages
Effective Communication
  • Demonstrate how the dental healthcare team sends nonverbal cues

Creating a Positive Image Customer Service: Compare and contrast the humanistic theory according to Maslow and Rogers. Relate the theory to patient relations. List the different stages that present a positive image for the dental practice. Describe the elements of a positive image and give examples. Demonstrate different problem-solving techniques. Examine different methods of providing outstanding customer service. Discuss team strategies and personal strategies for providing exceptional patient care.
Organizational Communication: Discuss the purpose of a dental practice procedural manual and identify the different elements of the manual. Categorize the various channels of organizational communication and identify the types of communication that are used in each channel. Identify and discuss barriers to organizational communications. Describe different types of organizational conflict, and select the appropriate style for resolution. Explain the purpose of staff meetings.

Dental Practice Management Software: Compare the three levels of function of dental practice management software and discuss their application. List the functions to consider when selecting dental practice management software.

Operating Dental Software: Discuss the role of the administrative assistant in the operation of a computerized dental practice. Identify the different computer tasks performed by the administrative dental assistant. Describe the importance of a computer system backup routine.

The Clinical Record: List the functions of clinical records. List key elements of record keeping and describe the significance of each element. Define the two types of accessibility of clinical records.
Collecting Patient Information
  • Discuss methods used in the collection of information needed to complete clinical records. Identify the components of a clinical record and describe the function of each component.
  • Discuss the function of risk management. Identify situations that lead to patient dissatisfaction.

Using an Appointment Book or Electronic Scheduler: Describe the mechanics of scheduling. Identify criteria required for maintaining an appointment book and electronic scheduler. Apply the criteria selected, and properly matrix an appointment book and set up an electronic scheduler. Discuss different methods used to identify when specific procedures should be scheduled. List the criteria for making an appointment book entry (manual and electronic).
Benefits of a Recall System: List the benefits to a patient of a recall appointment. List the benefits to the dental practice. Discuss the elements that are necessary for an effective recall system. List the different classifications of recalls.
Appointment Scheduling Strategies: Discuss the seven different scenarios of appointment scheduling, and formulate an action plan to solve the problems. Fill out an appointment card and a daily schedule. List the steps to be followed in making an appointment (manual and electronic). Describe the use of a call list. List the steps to be followed in performing the daily routine associated with the appointment schedule.

Financial Policies: List the elements of a financial policy and discuss the qualifying factors for each of the elements. Describe the different types of financial plans and explain how they can be applied in a dental practice.

Managing Accounts Receivable: State the purpose of managing accounts receivable. Describe the role of the administrative dental assistant in managing accounts receivable. Classify the different levels of the collection process. Place a telephone collection call. Process a collection letter. Interpret aging reports and implement proper collection procedures.
Dental Insurance: Classify and identify the various types of insurance coverage. Discuss the purpose of insurance coding and differentiate between categories. List the types of insurance information required to determine insurance coverage. Identify the different methods of filing insurance claims and discuss the responsibility of the administrative dental assistant in filing dental claims.

Filing a Dental Insurance Claim Form: Discuss part 5B of the ADA Code of Ethics and identify how it applies to an administrative dental assistant. Complete a dental claim form for manual submission.

List career opportunities for administrative dental assistants. Identify the steps to be followed in developing an employment strategy. Discuss the function of each step.
Week 8
Final Exam
Testing of all chapters covered in course.
